General Statement of Duties
Assists the Office of Attorney Registration and Office of Continuing Legal and Judicial Education in the operation of reviewing attorney and public inquires relating to attorney status and standing. Review and process applications for limited admission and special authorization or certification to practice law in Colorado. Review of CLJE application forms and eligibility.
Essential Functions of the Position
Registration:Respond to all requests from attorneys to change or update their attorney license status. Calculate and collect fees that come due with activation of an attorney license.
Prepares certificates of good standing, affidavits or general correspondence concerning attorney standing.
Retain and manage attorney license records. File registration documents and CLE/courtcorrespondence in attorney files. Retrieve attorney records to assist in research and reporthistories as requested. Maintain all limited licensing application and files.
Verify that all attorneys have completed and signed annual registration compliance statements.
Commence notification process for all attorneys who have not fully completed a registration compliance statement. Ensure proper procedure is followed in accordance with the Colorado Rules of Civil Procedure to provide notice of non-compliance to attorney by email, U.S. mail and certified mail.
Review and process requests for remote administration of the Colorado Supreme Court oath of admission. Collect pertinent information concerning the location and administration of the oath. Ensure that the oath will be administered by an authorized individual in accordance with the Director’s and the Clerk of the Colorado Supreme Court’s guidelines. Review clearance and documents submitted by admittee. Issues order, oath and sends packet to be used in the remote swearing in. After the Oath is administered, collect oath and activate admittee’s license.
Process ordering of wall certificates for all newly admitted attorneys and requests for replacement certificates. Generate list after admission ceremony to submit to wall certificate vendor. Review and ensure accurate spelling and gender information is listed for each attorney before placing order. Review all completed wall certificates and ensure attorney information is correctly listed. Mail out wall certificates. Investigate returned wall certificates and resend to corrected or alternative addresses.
Update attorney records for name change requests. Review legal document demonstrating name change. Update attorney registration database to process requested name change. Issue order and notice to reflect name change and advise other government agencies.
Respond to requests for Colorado attorney license information from national counterparts. Provide detailed information to other state licensing offices requesting Colorado Supreme Court attorney registration information for out-of-state applicants that are licensed in Colorado. Ensure attorney has submitted a signed release before corresponding with the organization.
CLJE:
Review and approve or deny individual attorney requests for CLJE credits via independent study, teaching activity, research, committee research, graduate legal study, mentoring and pro bono activity. Ensure activities qualify by reviewing materials submitted with the application and applying requirements in CLJE rules and regulations. Compute credits earned by each activity and add approved credits to the attorney’s transcript.
Review incomplete CLJE application and affidavits. Return forms that require additional information and/or payment. Sends affidavit that are missing information or that do not qualify for CLE credits.
Oversee CLE online affidavit reporting system. Ensure credit entries qualify for credit. Advise attorneys of denied credits. Ensure all credits approved are posted to the attorney’s transcript.
Prepares certificates, affidavits or general correspondence concerning attorney standing.
General:
Serve as the initial service provider for Registration and CLJE Office on a daily basis.
Perform all receptionist duties while serving as receptionist coverage.
Provide administrative support for other Registration and CLJE staff, as needed.
Staff the semi-annual attorney admissions ceremonies.
Administer the oath of admission for attorneys admitted On Motion, by UBE score transfer, and exam applicants unable to attend the admissions ceremony.
Assist with and monitor data management issues with iMIS.
Attends meetings and trainings as required.
Performs additional duties as assigned.
Knowledge, Skills, and Ability
Knowledge of state laws and rules of civil procedure pertaining to the Colorado Supreme Court’s regulatory objectives and the Colorado attorney regulation system, including attorney registration, CLJE, attorney admissions, unauthorized practice of law, client protection fund and judicial discipline proceedings.
Ability to maintain confidentiality and impartiality in handling sensitive and difficult information and issues.
Ability to patiently and courteously handle sensitive or difficult interaction with people who are frustrated, angry, and/or upset.
Ability to communicate procedures, policies, and instructions to others in verbal or written form.
Ability to work with a diverse range of individuals, both at OARC and with the public.
Experience using Microsoft Office Suites, including Word, Access, Outlook, and Excel.
Ability to learn other database computer systems that may apply.
Ability to handle multiple tasks, calls, and inquiries.
Ability to use standard office equipment and computer peripherals.
Ability to perform technical clerical work of an administrative nature with attention to detail.
Ability to exercise sound judgment in keeping with the Rules of Civil Procedure, policies, and objectives of the office.
Supervisor Responsibilities
No direct supervisory responsibilities are assigned to this position. However, it is anticipated that on occasion this position will supervise other office staff in the completion of discrete tasks or projects.
Physical Demands
While performing the duties of this job, the employee is regularly required to walk; to sit; to use hands to perform repetitive motions; and to talk and hear. The employee may occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, and ability to adjust focus.
Work Environment
The noise level in the work environment is usually moderate, and is subject to many interruptions. May handle emergency or crisis situations, may handle multiple calls and inquiries simultaneously, and may occasionally handle absentee replacement on short notice.
Minimum Qualifications
Bachelor’s degree or graduation from high school or equivalent and three years of general clerical or receptionist experience. Typing skills and familiarity with word processing applications preferred.
